Position Title: Coordinator, Office of Academic Affairs

Description:

The Coordinator of the Office of Academic Affairs (OAA) supports the academic operations of the College by collaborating with faculty, program leadership, and multiple university offices to ensure accurate curriculum delivery, efficient assessment processes, and smooth student progression. This role requires strong organizational, technical, and communication skills, as well as the ability to manage multiple tasks in a fast-paced academic environment.

Key Responsibilities:

Academic Program Operations

  • Collaborate with academic department chairs and graduate program directors.
  • Develop and maintain the academic calendar, course syllabi deadlines, and proctoring schedules.
  • Manage the release of ExamSoft grades to Canvas and other platforms as needed.
  • Track attendance, survey completion, Bloom’s taxonomy thresholds, and professional development units (PDU) completion.
  • Ensure degree requirements are met for student graduation.
  • Presence during classes and examinations (8:00 am-4:00 pm)
  • Coordinate with and support adjunct faculty for academic processes, including presentation and question upload, tagging, and item analyses.
  • Collaborate with faculty in ensuring academic policies and processes

Examination Administration

  • Schedule and coordinate item analysis meetings with faculty and maintain details of post-examination processes.
  • Review examination tagging and track assessments.
  • Coordinate remediation exams and document remediation outcomes.
  • Record questions that did not perform well and follow up with faculty to update those questions.
  • Provide proctoring support for accommodation students.
  • Identify exam analytics/student performance and provide to the Dean of Academic Affairs.
  • Maintain Exam Tracker, Remediation Tracker, and Course spreadsheets for all didactic courses
  • Assist the Academic Affairs Dean in identifying academically at-risk students.
  • Coordinate with student services for ADA accommodation of students.

Technology & Learning Management System (LMS) Support

  • Provide troubleshooting support for Canvas, ExamSoft, Microsoft (MS) Teams, and assist faculty with technical issues.
  • Serve as the liaison with ExamSoft/Canvas support teams for updates and issue resolution.
  • Faculty onboarding with the functioning of academic affairs, different software, and resources
  • Deliver training sessions on Canvas, ExamSoft, and PDU requirements for full-time and adjunct faculty.
  • Support the academic affairs dean in accrediting body data and policy compliance

Curriculum & Records Management

  • Maintain syllabi records and repository for the Curriculum Committee.
  • Track Curriculum Committee and Faculty Council motions.
  • Provide academic performance records to Student Services for students falling below competency thresholds.
  • Track syllabi to monitor year-to-year curricular changes and adequately record and maintain the minutes of academic committees (Curriculum Committee, Assessment Committee, Graduate Studies Committee) meetings.

Orientation & Student Engagement Support

  • Plan and coordinate Orientation Week activities.
  • Conduct ExamSoft mock assessments for incoming learners.

Collaborative Responsibilities Across Departments

  • Coordinate course and user availability on Canvas and Examsoft.
  • Update and manage course rosters, grade submissions, student records, and maintain schedule accuracy.
  • Provide academic risk data to student services on students who fall below competency benchmarks.

  • Work with student services in scheduling tutoring services.

  • Collaborate with faculty mentors overseeing PDU completion through EnfluxTM or similar platforms.

  • Coordinate with faculty advisors to support at-risk students.

  • Notify experiential office and coordinate students undergoing remediation or “hard stop” issues, ensuring timely rotation rescheduling and policy compliance.

Qualifications:

  • Bachelor’s degree required, master’s degree preferred.
  • Strong organizational, interpersonal, and communication skills.
  • Ability to work independently and collaboratively in a fast-paced academic environment.
  • Proficiency with MS Office, LMS platforms, and academic/administrative systems.
