Position Summary:

The Administrative Assistant for the Office of Admissions and Student Affairs provides comprehensive administrative and operational support to the Assistant Dean of Admissions and Student Affairs while serving as a primary point of contact for prospective students, current students, faculty, staff, and external stakeholders.

This position plays a critical role in ensuring the efficient daily operation of the office through effective coordination of administrative functions, document management, scheduling, communication, event support, and student service activities. The Administrative Assistant maintains confidential records, assists with admissions and student affairs initiatives, and contributes to delivering exceptional customer service while supporting the University’s mission and commitment to student success.

Executive Administrative Support

• Provide direct administrative support to the Assistant Dean of Admissions and Student Affairs.
• Manage calendars, appointments, meetings, and departmental scheduling.
• Prepare agendas, meeting materials, presentations, reports, and correspondence.
• Coordinate travel arrangements when necessary.
• Maintain organized electronic and physical filing systems.
• Screen incoming calls, emails, and visitors.
Admissions Support
• Assist with admissions activities and applicant communications.
• Coordinate interviews, information sessions, and campus visits.
• Prepare admissions packets and maintain applicant records.
• Support recruitment events, orientations, and open houses.
Student Affairs Support
• Provide administrative support for student services initiatives.
• Coordinate student appointments, meetings, workshops, and engagement activities.
• Maintain student records in accordance with FERPA.
Office Administration
• Maintain office supplies and equipment.
• Process purchasing requests, invoices, and departmental paperwork.
• Coordinate office logistics and operational needs.
Records and Compliance
• Maintain confidential records.
• Support accreditation documentation and departmental reporting.
• Ensure compliance with institutional policies and applicable regulations.
Communication and Customer Service
• Serve as a professional first point of contact.
• Provide exceptional customer service.
• Coordinate communications between departments.
Event Coordination
• Assist with planning admissions, orientation, recruitment, and student events.
• Coordinate meeting logistics including room reservations, catering, and audiovisual needs.
Data Management and Reporting
• Maintain departmental databases and spreadsheets.
• Prepare reports and monitor departmental deadlines.
Other Responsibilities
• Support special projects.
• Participate in university meetings.
• Perform other duties as assigned.

Qualifications:

  • Required Qualifications
    • Associate degree required; Bachelor’s degree preferred.
    • Minimum three (3) years of progressively responsible administrative experience, preferably in higher education.
    • Excellent organizational, communication, and customer service skills.
    • Ability to maintain confidentiality and manage multiple priorities.
    Preferred Qualifications
    • Experience in higher education.
    • Knowledge of admissions and enrollment processes.
    • Familiarity with FERPA regulations.
    • Experience coordinating events and using student information systems.
    Knowledge, Skills, and Abilities
    • Microsoft Office Suite proficiency.
    • SharePoint and cloud collaboration tools.
    • Strong organizational, problem-solving, and interpersonal skills.
    Physical Requirements
    • Prolonged computer work.
    • Occasionally lift up to 25 pounds.
    • Ability to move throughout campus.
